At Busy Board (hereinafter, “Busy Board,” “Company,” “us,” or “we”), we respect and protect the privacy of visitors to our website, busyboard.co.za, and the other websites under our domain (collectively, the “Sites”), and our customers who use our SaaS product for AI-powered call management, including voice agents, call transcription, and related services (together with the Sites, the “Service”).
This Privacy Policy (“Policy”) explains how we collect, use, disclose, and protect visitors’ and users’ information as part of the Service. Any discussion of your use of the Service in this Policy is meant to include your visits and other interactions with the Sites and Services, whether or not you are a user of Busy Board’s SaaS product.
By accessing and using our Service, you indicate that you understand, accept, and consent to the terms of this Policy. If you do not agree with or you are not comfortable with any aspect of this Policy, you should immediately discontinue access or use of our Service. Proper access and use of information provided on the website is governed by our Terms of Service.
In addition to this Policy, Busy Board adheres to industry best practices to be compliant with the Protection of Personal Information Act (POPIA) and other applicable data protection laws in South Africa.
1. What “Personal Information” Means
In this Policy, “Personal Information” means information that identifies or could be used to identify an individual directly or indirectly, as defined under POPIA. Except as described in this Policy, Busy Board will not give, sell, rent, or loan any Personal Information to any third party.
Personal Information does not include “Usage Data” which we define as encoded or anonymized information or aggregated data we collect about a group or category of services, features, or users which does not contain personally identifying information. Usage Data helps us understand trends in usage of the Service so that we can better consider new features or otherwise tailor the Service.
2. How We Collect, Use, and Share Your Personal Information
When you register for the Service, we may ask for Personal Information such as your name, email address, credit card, or other billing information. As you use the Service, for example to configure your AI agent or upload documents to your Knowledge Base, the software may save this information to provide the Service to you.
We may also retain the contents of any messages you send to us or through the Service, and we may collect information you provide in user content that you post or upload to the Service (“User Content”), such as Knowledge Base articles.
Busy Board may use this Personal Information to operate, improve upon, and personalize the Service, for billing identification and authentication, to contact and communicate with you about the Service, to support your use of the Service, to send marketing materials (with your consent), and to generally improve the content and functionality of the Service.
Information we may receive from and share with third parties
We may now or in the future receive Personal Information about you from third parties. For example, if you log in via a third-party service, that service may pass certain information to us. You should always review your privacy settings on third-party websites before connecting them to our Service.
Busy Board may also share Personal Information with its third-party service providers (such as our payment processors and hosting partners) to provide the necessary hardware, software, networking, storage, and other services we use to operate the Service. We do not permit our service providers to use the Personal Information we share for their own marketing purposes.
Other information sharing
We may be required to disclose Personal Information to respond to subpoenas, court orders, and law enforcement or governmental requests, or to establish or exercise our legal rights or defend against legal claims. We may also share Personal Information if we believe it is necessary to investigate, prevent, or take action regarding illegal activities, suspected fraud, violations of our Terms of Service, or as otherwise required by law.
We may share Personal Information with any member of the Busy Board team, which includes any entity that controls, is controlled by, or under common control with Busy Board.
3. Google API Services and Calendar Integration
Busy Board's use and transfer to any other app of information received from Google APIs will adhere to Google API Service User Data Policy, including the Limited Use requirements.
When you connect your Google Calendar to Busy Board:
- Non-Sharing Policy: We do not share your Google user data with any third parties, including for AI training, marketing, or advertising purposes.
- Data Minimization: We only access the calendar data (events and availability) necessary to provide the scheduling features you have enabled.
- Absolute Disconnection: When you disconnect the Google Calendar integration, Busy Board immediately and permanently revokes all OAuth credentials and tokens. We do not retain any access to your Google account or your calendar data once the integration is removed.
- Data Sovereignty & Protection: We are committed to protecting your data. We do not provide any government or third-party entity with "backdoor" access to your synchronized calendar information. Your data is protected by the same robust security measures we use for all our customer information, ensuring it remains safe from unauthorized access.
4. Links to Other Websites
The Service may contain links to websites and applications other than the Service. This Policy applies only to information collected by the Service. Busy Board does not endorse and is not responsible for the practices of third parties or their websites or applications. Your browsing and interaction on any third-party website or service are subject to that third party’s own rules and policies.
5. Public Forums
Our Service may offer publicly accessible blogs or community forums. If you elect to post something in a public area of our Service, any Personal Information or content that you voluntarily disclose becomes available to the public. To request removal of your Personal Information from our blog or community forums, contact us at support@busyboard.co.za. In some cases, we may not be able to remove all your Personal Information.
6. Customer Testimonials / Comments / Reviews
From time to time, we post customer testimonials on the Sites which may contain Personal Information. We always obtain the customer's consent prior to posting their name along with their testimonial.
7. Protection of Information
Busy Board is committed to ensuring the security of your Personal Information. We use commercially reasonable technological, physical, and administrative security safeguards, such as firewalls and encryption, to protect the confidentiality and security of your Personal Information within the Service. When you enter confidential information (such as login credentials), we encrypt the transmission of that information using secure socket layer technology (SSL). However, no internet transmission is ever fully secure or error-free. Busy Board is not responsible for the functionality or security measures of any third party.
8. Hosting and Data Transfer
We are based in South Africa. We may host, transfer, and process data, including Personal Information, in South Africa and in other countries through third parties that we use to operate and manage the Service. These countries may have data protection laws that are different from those of your country of residence. Busy Board takes appropriate measures to ensure such transfers are in compliance with applicable laws like POPIA.
9. Customer Warranty
You represent and warrant that your data (e.g., information from your end-users) will only contain personal information in respect of which you have provided all notices and obtained all applicable third-party consents as required by applicable laws (including POPIA), to enable Busy Board to provide its services. You are the "Responsible Party" for your end-users' data, and we act as the "Operator" on your behalf.
10. Your Rights and Choices
You may decline to submit any Personal Information through the Service, in which case we may not be able to provide certain services to you. You have the right to access, correct, or request the deletion of your personal information. To do so, please contact us.
You have the right to object to the processing of your Personal Information and to lodge a complaint with the Information Regulator of South Africa if you believe your rights have been infringed.
11. Correcting and Updating Your Information
You may update, delete, or change your Personal Information by logging into the Service and modifying your account settings. If you are not our customer and would like to request access to or deletion of information we have collected, please contact us at support@busyboard.co.za. We will use commercially reasonable efforts to respond to such queries.
Busy Board has no direct relationship with the individuals or companies (“End Users”) with whom you may interact using the Service. Any such End Users seeking to access, correct, or delete data stored in the Service should direct their query to the applicable Busy Board customer (you) acting as the Responsible Party for such information.
12. Right to Withdraw Consent
Where you have provided your consent to the collection, use, and transfer of your personal information, you may withdraw that consent at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw your consent, if applicable, contact us at support@busyboard.co.za.
13. Data Retention
Busy Board will retain Personal Information for as long as needed to provide the Service to our customers, or as required or permitted under applicable law. We may further retain and use this Personal Information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
14. Children's Personal Information
Busy Board does not knowingly collect any Personal Information from children under the age of 18. If you are under the age of 18, please do not submit any Personal Information through our Service. If you have reason to believe that a child under the age of 18 has provided Personal Information to us, please contact us, and we will use commercially reasonable efforts to delete that information.
15. Changes to the Privacy Policy
We may, in our sole discretion, modify or update this Policy from time to time. If we make any material changes, we will endeavor to notify you by email or by posting a prominent notice on the Sites prior to the change becoming effective. We encourage you to periodically review this page for the latest information on our privacy practices.
16. Business Transactions
Busy Board may assign or transfer this Policy, and your user account and related Personal Information, to any person or entity that acquires all or substantially all of the business, stock, or assets of, or is merged with Busy Board.
